A and W Mountain Rentals strives to protect both the vacation lodging renters and the owners of the beautiful properties that we manage. We operate our rental company based on the provisions of the North Carolina Vacation Rental Act. The Vacation Rental Act Agreement protects both the vacation renter as well as the landlord or rental agent. Agent shall conduct all brokerage activities without respect to the race, color, religion, sex, national origin, handicap or familial status of any tenant. We have displayed our rental policies below. Please read and understand them. If you have any questions, we invite you to contact us.
- ARRIVAL

negligent or

wanton

Vacation
Rental

- Security
Deposit:
Occasionally
we will
charge an
additional
security
deposit or a
pet deposit
in addition
to the
Accidental
Rental
Damage
Insurance that is
included in
the rent.
This
security
deposit must
be paid by
check rather
then put on
a credit
card. (If
your arrival
date is less
than 20 days
away, a
Cashier's
Check or
Money Order
will be
required.)
This check
will be
deposited in
the Company
trust
account and
your
Security
Deposit will
be refunded
by check
within 45
days of your
departure.
- Arrival Date: If your
arrival date
is less than
30 days
away, the
total
contract
amount will
be due
within 4
days of
booking. If
your arrival
date is more
than 30 days
away, an
initial
payment
consisting
of half of
the rent,
the
reservation
fee and the
optional
travel
insurance
premium, if

Cancellation
Policy: This
policy is
based on the
N.C.
Vacation
Rental Act:
If property
is re-rented
on the same
terms as
your lease,
we will
refund all
monies paid
less a $25
processing
fee and a
$35.00
reservation
fee
(included in
rent total
on website
but listed
separately
on the
contract).
If the
property is
not
re-rented on
the same
terms,
Tenant will
not be
entitled to
a refund of
any monies
paid.
- Trip
Cancellation/Interruption
Insurance/Travel Insurance: We offer
trip
cancellation/interruption
insurance
from Travel
Guard (Travel Guard's
All Seasons
Travel Plan) for your convenience. This insurance is optional, but we strongly recommend it to help you to
cover your investment should you have to cancel your reservation plans. We will send you a document explaining the details of the coverage (benefits, exclusions & limitations) along with your Vacation Rental Agreement (contract). You then have the option to accept it or decline it by initialing in the proper place on the contract. If you choose to decline the insurance, you will simply initial page 1 (Paragraph 4, Financial Terms) of the Vacation Rental Agreement where indicated, but remember NO REFUNDS WILL BE GIVEN IN THE EVENT OF UNFORESEEN CANCELLATIONS (unless property is re-rented for the same amount or greater). Travel insurance can be added to any reservation up to the time that the Final Payment is made, but remember the insurance will not cover pre-existing circumstances or conditions. This policy
has many
other
benefits
including
airline
travel
delays,
emergency
medical
transportation
and medical
expenses.

It is not something guests want to think about - and with good reason - but unfortunately, we find that many vacationers do become ill or injured during their trip and many medical plans do not cover illnesses and injuries that occur on vacation, or if they do, there are
still out-of-pocket
expenses
that must be
paid. The
ASTP
reimburses
for many
emergency
medical and
dental
expenses not
covered by
regular
medical
insurance.
Our company
actually
changed from
another
travel
insurance
company to
Travel
Guard,
mainly
because it
has such
great
medical
benefits
when you are
on your
trip. In
order to
qualify for
this
benefit, you
have to see
a medical
professional
for the
first visit
while here
on you stay.
Additional
benefits (up
to $25,000
if needed)
qualify
after you
return home
for up to 1
year.
- Arrival Guidelines: Every
effort is
made to be
sure the
homes are
clean and
ready for
your
arrival. If
we do not
hear from
you at the
office
within an
hour after
your
arrival, we
will assume
that the
home is
cleaned
satisfactorily.
If your
arrival is
after hours,
leave a
voice
message on
the office
phone. Only
call the
emergency
numbers late
in the
evening for
important
problems;
i.e., no
key, no
heat, no
water. You
will be
required to
turn on the
water for
the home and
flip the hot
water
breakers.
You will be
emailed
instructions
prior to
your arrival
giving the
locations of
these.
All homes
are fully
equipped for
normal
housekeeping.
Towels and
linens are
provided for
all rental
units. In
addition to
sheets and
towels, 1
roll of
paper
towels, 2
rolls of
toilet paper
per
bathroom,
kitchen
garbage
bags,
dishwasher
soap, bath
soap per
rental are
provided for
you.
Personal
items are
not
provided.
Please bring
your own.
- Repairs & Service Calls: Please report any inoperative equipment to our office promptly. We cannot guarantee appliances, TV's (including Satellite service), hot tubs, etc. and no refund or rate adjustments will be made for any mechanical failure including power outages. However, we will make every effort to have repairs done quickly.
- Hot
Tubs: Many
of our
rentals have
hot tubs
outside for
use by our
guests. We
do our best
to see that
these are
hot and
ready for
your use
when you
arrive, but
we cannot
guarantee
this since
some hot
tubs require
a day to
heat up
after
draining.
Please read
the hot tub
rules and
follow them
for your
safety. Be
sure to
shower
before
entering the
hot tub so
you will not
be bringing
excess germs
and dirt
into the hot
tub. Persons
who are
pregnant or
have a bad
heart should
not use the
hot tub.
Children
must be
supervised
and be made
aware of
basic
cleanliness
rules
regarding
hot tubs and
toileting
habits.
- WAIVER OF LIABILITY FOR SPA, HOT TUB, JACUZZI: The tenant understands that there are special risks involved in the use of spa, hot tub or Jacuzzi. Tenant is aware there are potential dangers to children who are not carefully supervised, as well as any person using spa, hot tub or Jacuzzi too long or if a person has health risks, is intoxicated, using any kind of drugs or medication, or pregnant. Tenant agrees to waive any claim whatsoever against Agent and Owner of property for accidents or injury arising from use of spa, hot tub or Jacuzzi. Tenant agrees that he/she is responsible and liable for any damages that occur to the spa, hot tub or Jacuzzi through their or their guest's misuse
or negligence.
- Pets: If dogs are permitted in the unit, it will be noted as Yes under Features and mentioned in the property description. YOU MUST HAVE PRIOR PERMISSION TO BRING A DOG INTO ANY RENTAL UNIT THAT ALLOWS DOGS. Pets are not to be left unattended in the rental unless crated. Some owners specify a 20 or 25 lb. maximum on the size of the dog considered. A few homes may allow a medium size dog if you have prior permission. There will be a non-refundable pet fee of $50 for each dog allowed. IF YOU BRING AN UNDECLARED PET INTO A RENTAL, WE WILL CHARGE A MINIMUM OF $150 FOR EXTRA CLEANING.

Long-Distance Calls: ABSOLUTELY NO LONG-DISTANCE CALLS ARE PERMITTED.
(Please note
that Boone
phone
numbers do
not require
an area code
but are
still long
distance
from most of
our rentals
– you will
be
responsible
for any
phone
charges
incurred
while you
are staying
in the
rental
unit.) This
includes the
AOL phone
number in
Boone!
Please bring
your calling
cards with
you. Some
cellular
phones work
in the area.
While Beech
Mountain as
well as
other areas
have
cellular
phone
coverage,
certain
areas
provide no
coverage.
Cellular
coverage is
also
determined
by the
cellular
company that
you use.
- Moving of Furniture or Decorative Items: You are not
permitted to
move
furniture or
items
decorating
the home
from their
original
position. If
our cleaning
staff has to
move
furniture,
décor,
appliances
(especially
TV's, VCR's,
DVD's, etc) back
to their
original
location,
then a
minimum
additional
fee of
$25.00 will
be charged.
- Heating: Each home is
equipped
with a
central
heating
source such
as electric
heat, or oil
or gas
furnace.
Most homes
also have
fireplaces
or
wood-burning
stoves that
offer
supplemental
heat. Some
owners
provide
firewood. If
not, for a
fee,
firewood can
be provided
for you or
you can buy
bundles at
local
stores.
- Smoking: Smoking
is not
permitted
inside any
of the
properties.
All of our
rentals are
non-smoking.
You may
smoke on
porches and
decks
disposing of
ashes and
cigarette
butts
properly. If
it is
determined
that smoking
did occur
inside a
non-smoking
property, an
additional
cleaning fee
will be
charged to
cover the
cost of
smoke
removal and
any damages
incurred.
- Departure Guidelines: Guests are asked to straighten and tidy the rental property including but not limited to cleaning the grill, washing and replacing dishes, laundering towels and removing garbage. If our cleaning staff has to perform these duties, a small fee will be charged. You are not required to make beds, vacuum, scrub floors or sinks. 1 load of towels (only 1 load) and all sheets may be left unwashed. Departure Inspection Staff will remove all ashes from fireplaces.
- Construction:
There are
many growing
communities
in our area.
If there is
construction
going on
near the
home you
have rented,
please
realize this
is beyond
our control.
We will not
be able to
refund your
money or
move you to
another
unit.
- Items Left Behind in Rental: Items
left behind
in the
rental will
be saved for
30 days.
After that,
they will be
disposed of
unless we
receive in
writing (by
fax or
email),
within the
30 days, a
request to
have them
shipped back
to you at
your
expense. We
will need to
have the
funds for
postage
prior to
shipping
them. In
addition to
postage and
packing
fees, there
will be a
minimum of a
$10 fee
payable to A
and W for
this
service.

On-line
Booking:
The
information
that you
provide to
us when
booking your
reservation
on-line will
assist our
reservationists
in
completing
your
Vacation
Rental
Agreement
(contract)
that is
required by
the North
Carolina
Real Estate
Commission.
The
advantage to
you for
booking
on-line is
that you
have an
immediate
24-hour hold
placed on
this
property. If
you are
booking this
reservation
on a
weekend, the
reservation
will be held
until Monday
at 5:00 PM.
- Please
call our
office
within 24
hours of
making this
on-line
booking (as
early as
possible
between 9:30
AM and 5:00
PM). One
requirement
of booking
on-line is
that our
reservationists
require a
telephone
conversation
with you to
make any
final
arrangements
before
sending you
the
contract.
For example:
The
reservationist
will discuss
rental
policies and
let you know
at that time
any
discounts
that apply.
The total
you will be
given when
booking
on-line does
not include
discounts
for last
minute, gas
allowance,
returning
guest or
military or
charges for
pet fees.

the phone
conversation
with you, we
will fax the
contract for

initials and
signature

you if you
do not have
a fax
available).
This
contract
needs to be
returned to
us within 2
days after
it is sent
to you. This
reservation
is not
binding
until a
Vacation
Rental
Agreement
has been
received by
A and W.
After the
signed and
completed
contract has
been
received, we
will charge
your Visa,
MasterCard
or Discover.
- If we do
not hear
from you
with 24
hours of
your making
this on-line
booking (or
by Monday at
5:00 PM if
the
reservation
was placed
on the
weekend), we
reserve the
right to
cancel this
reservation
for this
property, so
that another
may reserve
it. Before
cancelling
this
reservation,
we will
place a
courtesy
call to you
in an effort

you.
